Administrative/Accounting Assistant (Halifax – Hollis St.)

We are seeking a keen administrative professional to join our team as Administrative/Accounting Assistant.
The Administrative/Accounting Assistant will facilitate all accounting functions for the office and a variety of administrative tasks to ensure excellent client service and smooth and efficient workflow. Back-up coverage for reception will also be included in this role.
Location: Downtown Halifax – 1801 Hollis Street
Work Schedule: Standard work hours are 34.5 per week. Some flexibility and occasional overtime may be required.
Key Areas of Responsibility
- Provide ongoing accounting support to the staff and lawyers at the office
- Work collaboratively with the firm’s Accounting group to ensure established procedures are followed
- Complete all functions pertaining to the Trust Account
- Preparation of invoices for all billings at the Office
- Issuing cheques
- Preparation of bank deposits
- Completion of bank reconciliations
- Liaising with lawyers and other staff on a regular basis regarding accounting requirements
- Coordination of accounts payable and accounts receivable for the office
- Answer procedural questions regarding accounting as needed
- Opening and closing of files
- Policies/Procedures – Ensuring adherence at all times to firm policies and procedures that have been established
- Back-up Support & Coverage – Where accounting work is completed and in the situation where colleagues are on vacation or otherwise away from the office, assisting with fellow staff members’ responsibilities to ensure the office operates at optimum efficiency and service standards.
- Other – Additional duties as assigned based on the firm’s requirements
Qualifications
- Post-secondary education in business or accounting along with 1-3 years of administrative/accounting experience is ideal. However, we understand that strong candidates come from a wide range of backgrounds, and we are happy to consider any combination of education and experience.
- Prior law firm or professional services experience and understanding of billing procedures and money transactions are assets
- Knowledge of Trust Rules and Regulations or interest and aptitude to learn
- Strong mathematical skills are essential and an understanding of accounting principles would be ideal
- Experience working with the public is an asset
- Accurately follows instructions and asks questions to clarify requirements & ensure work is done properly
- Organized, highly detail-oriented, and able to effectively prioritize
- Energetic and flexible team player, willing to pitch in wherever necessary
- Ability to work independently with minimal supervision
- Takes initiative and able to effectively problem-solve
- Strong interpersonal skills and ability to remain calm under pressure in a fast-paced environment
- Professional and tactful communication style with strong grammar and spelling skills
- Strong written and verbal communication including excellent telephone skills
- Quick and accurate keyboarding skills
- Technologically strong – Accounting software, Word LX, Excel, document management software, Outlook, Zoom, banking and debiting systems
